Privacy Policy

1. Who we are

In this policy, “we”, “us” and “our” mean Your Property Pilot Pty Ltd (ABN 99 694 602 330), an Australian company. We do the marketing for real estate agencies: listing pages, listing video, campaign pages, and answering the enquiries that marketing brings in.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. You can reach our privacy contact at hello@yourpropertypilot.com.

2. What this policy covers, and what it does not

This policy covers personal information we collect about:

• visitors to this website;
• people at an agency who ask us for a demo or otherwise contact us;
• people at agencies who become our customers, and their staff who use our services;
• suppliers, applicants for jobs, and others we deal with in running the business.

It does not cover consumers who enquire about a property through a page we host for an agency. In that situation the agency decides what happens to the enquiry and we act as its service provider, so a separate policy applies. See Property Enquiry Privacy.

3. What we collect

Information you give us

If you ask for a demo through this website, we collect your name, email address, phone number, agency name and anything you write in the message field. Name and email are required; the rest are optional. If you email or call us instead, we collect whatever you choose to tell us.

If your agency becomes a customer, we also collect the information needed to run the service and the account, including billing and contact details and the names and work contact details of the people at your agency who use it.

Information collected automatically

When you visit this website we collect technical information sent by your browser, including your IP address, device and browser type, the pages you view, how you arrived, and identifiers held in cookies and similar technologies. Section 5 explains what is running and why.

Information from other sources

We may receive information about you from a colleague at your agency who refers you, from publicly available sources such as your agency's website, and from the advertising and analytics providers listed in section 5.

4. How we use it

We use personal information to:

• respond to a demo request or an enquiry, and follow up about it;
• provide, support and improve our services, and run the accounts of agencies who use them;
• send marketing about our services to business contacts, where we are permitted to and you have not opted out;
• measure how this website and our advertising perform, so we can spend sensibly;
• meet our legal obligations, and to establish or defend a legal claim.

Every marketing email we send carries an unsubscribe link, and we act on it. You can also ask us to stop at any time by emailing hello@yourpropertypilot.com.

5. Cookies, advertising and visitor identification

This website loads the following. We have listed them by name rather than describing them generally, because two of them do more than count page views.

What	What it does
Google Analytics 4	Measures how many people visit, which pages they read and how they arrived. Sets cookies in your browser.
Google Ads	Records when a visit follows one of our ads, and when a visit leads to a demo request, so we can measure and target advertising. Sets cookies in your browser.
OpenAI advertising pixel	Reports the same kind of conversion signal to OpenAI's advertising platform.
Snitcher	Identifies the organisation a visit appears to come from, by matching your IP address against a database of business networks. It is aimed at identifying companies rather than individuals, but in a small business the two can amount to the same thing, so we are telling you plainly that it runs.

Most browsers let you block or delete cookies, and blocking them will not stop you using this website. You can also opt out of Google's advertising personalisation through Google's own settings.

We do not show a cookie consent banner. Australian privacy law does not require us to ask for consent before setting these cookies, and we would rather tell you exactly what runs, as above, than ask you to dismiss a box. If you would prefer none of it, block cookies in your browser. This website works without them.

6. Who we share it with

We share personal information with:

• Google, who host this website and our databases, and who provide our analytics and advertising measurement;
• Resend, who deliver the notification email we receive when you submit a demo request;
• Snitcher, as described in section 5;
• professional advisers such as our accountants and lawyers, where they need it;
• a purchaser, if the business or part of it is sold, and
• anyone we are required by law to give it to.

We do not sell personal information.

7. Overseas storage and processing

Our databases and the functions that receive demo requests run in Google's australia-southeast1 region, in Sydney. Some of the providers above are based overseas or may process information overseas, including in the United States and the European Union. Where that happens we take reasonable steps to ensure the information is handled consistently with the Australian Privacy Principles.

8. How long we keep it

We keep personal information only as long as we need it for the purposes in section 4, or as long as the law requires.

Records of an agency that was our customer	7 years after the account closes, because tax and company records law requires it
Website measurement data	14 months, which is the retention set in Google Analytics

At the end of these periods we delete the information or permanently de-identify it. You can ask us to delete it sooner. See how to delete your data.

9. How we secure it

We hold personal information in access-controlled systems, restrict access to the people who need it, and rely on our hosting provider's encryption in transit and at rest. No system is perfectly secure, and we do not claim otherwise. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as the Privacy Act requires.

10. Accessing, correcting and deleting your information

You can ask us what personal information we hold about you, ask us to correct it, and ask us to delete it. Email hello@yourpropertypilot.com and we will respond within 30 days. We may need to verify who you are first, and there are narrow circumstances where the law allows us to refuse. If we refuse, we will tell you why.

If your agency is our customer and the information is held as part of the service we provide to it, we may need to refer your request to the agency.

11. Complaints

If you think we have mishandled your personal information, tell us first at hello@yourpropertypilot.com. We will acknowledge your complaint within 5 business days and give you an answer within 30 days.

If you are not satisfied with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au, or by phone on 1300 363 992.

12. Changes to this policy

We update this policy when what we do changes. The date at the top is the date of the current version. If a change materially affects how we handle information we already hold about you, we will tell you rather than rely on you noticing.
