Best apps 2026

The best apps for property managers, sorted by the job

The best apps for property managers depend on the job, and most agencies need more than one. A rent roll with trust accounting suits PropertyMe. An agency that wants owners paid without running its own trust account should look at Managed App. Marketing the listings and the agent's own profile is a separate job. YourPropertyPilot covers that one, and it is not property management software.

Where YourPropertyPilot fits

YourPropertyPilot belongs after the property management systems, because it markets listings and agent profiles and does not run a rent roll or trust account. It suits an agency with no in-house marketing person, where the newest agent's campaigns lag the best agent's. Luke Marshall says it is not a fit if your customers are not on social media, if you have an in-house social team, if you are happy with your current leads, or if you believe you can market better yourself.

Pick the app by the job

Property management is several jobs. There is the rent roll and trust accounting. There are payments to owners. There are inspections, leases and arrears. Then there is marketing, which needs a different tool again.

Page one mixes these together. Some results are Australian agency software. Others are US lists written for landlords with a few units. Check every tool against your state rules and your own trust arrangements before you book a demo.

The list below covers rent roll systems first, then inspections and marketing, then one US tool.

Rent roll and trust accounting

PropertyMe is the name most agents will know. Its site offers Manage PM with Trust Accounting and Manage PM with Trustless, which pays owners automatically. It also sells Grow CRM for the sales side. PropertyMe says more than 6,400 agencies use it. Those figures are the vendor's own.

Wise's review of Australian systems says PropertyMe suits larger investors and companies and notes a high onboarding cost. For a principal with an established rent roll, that is a normal profile.

Managed App takes a different route. Its site says no trust account is needed and that owners are paid instantly. It says more than 300 agencies use it. A small agency, or one starting property management, may like that. An agency that wants to keep a trust account should ask how the model works before switching.

Automation inside the rent roll

OurProperty describes itself as end-to-end property management, automated. Its site lists payments, inspections, leasing, maintenance and communications. It also says there are no lock-in contracts.

Its assistant, Ava, prepares lease agreements, applies state clauses and chases unsigned agreements, according to the site. The same page says Ava's capabilities continue to expand. Ask for a demo of what runs today, and ask what is still planned.

This suits a department head who wants fewer manual follow-ups. It is a system change, so ask how your existing rent roll moves across.

Inspections and US landlord apps

Mitti, from SafetyCulture, is an inspection app. It offers digital checklists, photos and video attached to issues, offline use and a free version for teams of up to 10. It does not present itself as a rent roll or trust accounting system.

DoorLoop covers accounting, tenant portals, rent payments and work orders. Its own article describes portfolios from 20 to 2,000 units and mentions US states and listing sites. Nothing on that page covers Australian trust accounting or state tenancy rules.

These tools can still help a landlord. An Australian agency should treat them as a reference for features and not as a shortlist.

Marketing is a different job

None of the tools above market the listing or the agent. Most agents still do that late in the day, by hand. Luke Marshall at YourPropertyPilot puts it this way: "Wasting an Agents Week looks like spending time, usually at the end of the day, trying to upload photos and make posts on socials, which is nowhere near their core competency."

He says one agent had left an Instagram account untouched for three years before working with YourPropertyPilot. The platform builds content from the agent's existing reviews and property listings, in the agent's own branding.

Luke leads growth at YourPropertyPilot. He worked at Google APAC and helped launch YouTube across SEA. He was a client partner at Facebook, launched Australia's first Instagram advertising campaigns, and has spent over a decade working with startups. That is the personal brand and marketing background behind this work. YourPropertyPilot has won no awards, and it is not endorsed by or affiliated with those companies.

Luke Marshall at YourPropertyPilot is also clear about who should look elsewhere: "Your property pilot is not a fit if your customers aren't on social media." He adds that it is not a fit for a big agency with an in-house social media team, or for an agency happy with the leads it already gets.

Questions agents ask

What are the best apps for a property management department in Australia?

PropertyMe, Managed App and OurProperty are the Australian systems on page one. Compare them on trust accounting, owner payments, automation and contract terms. Ask each vendor for pricing in writing, including whether GST applies, because none of the three states prices on the pages we read.

Can a property management app run without a trust account?

Managed App says no trust account is needed. PropertyMe offers both a Trust Accounting version and a Trustless version. Rules differ by state, so check your obligations with your regulator or adviser before you change how money moves through your agency.

Are US property management apps suitable for Australian agencies?

Use them with care. DoorLoop's article names US states and US listing sites, and nothing on it covers Australian trust accounting or state tenancy rules. They are useful for comparing features. An Australian agency should test any of them against local requirements before paying.

Does YourPropertyPilot replace property management software?

No. It markets listings and agent profiles and does not run a rent roll, trust account or tenancy paperwork. Keep your property management system. Add YourPropertyPilot only if marketing is the gap, and your customers are on social media.
